Whether for installation reports, maintenance logs, site sketches, or even letters — with cryForms you create your documents simply, securely, and fully digital.
cryForms is built by users for users! We don’t want you to have to train your staff extensively or go through long onboarding. cryForms should be immediately understandable and operable by everyone. We rely on a pure web interface, so the software runs on any internet-enabled device — with no installation. All you need is a device with a modern browser, and you’re good to go.

Creating forms
Forms in cryForms are created from so-called form definitions. We create these for you, so you don’t have to worry about anything. Just share your requirements and we’ll provide the matching forms.
In the cryForms web interface, a logged-in user can create forms from these definitions. A permissions system governs who can view and edit which forms, ensuring only authorized people access sensitive data.
Editing forms
Created forms can be edited directly in the web interface on any device — PC, tablet, or smartphone. The forms are responsive and adapt to screen size.
On larger screens, the on-screen display matches the later PDF output, so you see what the final document will look like.
All inputs are autosaved on the server during editing, so the current state is always preserved. You can switch devices at any time and continue where you left off. Even with poor or interrupted connectivity, inputs are cached locally and automatically synchronized once the connection is restored.
Depending on the inputs, sections can be shown or hidden dynamically. For example, display certain fields only when a specific option is chosen — for a clean, user-friendly interface.
Forms can be delegated to other users for editing. For example, a dispatcher creates an installation report and forwards it to the technician for review and signature. The assignee receives a notification and can edit and sign the form in the web UI.
Forms can also be sent to customers or external people for editing, review, and signature via a link.
Once a form is finished, it can be finalized and exported as a PDF, emailed, or uploaded to a cloud.
Digital signing
Forms can be digitally signed right in the web interface using a dedicated signature field that accepts mouse or touch input.
Signatures are embedded into the form and the current state is cryptographically signed, ensuring the form can’t be altered afterward — any change would invalidate the signature and be immediately visible. It’s also possible to sign only a specific section of a form, leaving other parts editable. That’s useful, for example, when a technician signs a report, but the customer adds information afterward.
Finalizing forms
When a form is completed, it can be finalized, becoming read-only to preserve data integrity and indicate the task is done.
Finalized forms can be exported as a PDF, emailed, or uploaded to a cloud — manually or automatically as desired.

cryForms is not intended for long-term archiving — it’s for creating and editing forms.
Ideally, you use cryForms together with our Cloud to automatically archive and manage finalized forms. This way you always have access to all finalized forms and can view or download them at any time. With the cloud, table-of-contents files can be maintained automatically so you keep an overview even after years and many created forms.
Immutability of forms
Forms are created from form definitions that we maintain and update. Once a form has been created, its structure can no longer be changed — only the fields can be filled in. Even if a form definition changes later, existing forms remain unchanged. This ensures tamper resistance and integrity.
All inputs in a form are cryptographically signed when you sign the form. Any later manipulation is immediately detectable; the form will clearly indicate this.
Custom pages
Administrators can create custom pages in cryForms that are shown in the web interface for information, guides, or other content.
Administration area
Authorized users can configure many settings in the admin area, such as:
- Manage targets for automatic notifications triggered by form events
- Maintain lists for dropdowns used in forms
- Create and edit announcements shown in the web UI
- Manage custom pages
- Adjust various settings such as email signatures, additional UI texts, or the UI accent color
Supported field types in cryForms
cryForms supports a wide range of field types that you can combine as needed. All fields can be required, and validations ensure inputs meet your rules. Most fields support input formatting, alignment, placeholders, and unit labels.
Text fields
The most commonly used field — for names, addresses, or descriptions. Single-line and multi-line variants exist; multi-line fields grow with the text.
Text fields can also be filled automatically using an integrated QR/barcode scanner. In addition, a built-in geolocation can capture the user’s current location (coordinates) and insert it into the form.


Number fields
Optimized for numeric input with optional range limits, fixed decimals/thousands separators, and optional red for negative numbers. Barcode scanning can populate numbers from barcodes.

Checkboxes
Single or multiple selections; icons can be customized.

Dropdowns (select fields)
Static or dynamic lists (from admin-managed lists), with support for dependent dropdowns, inline search for long lists, and optionally free-form entries.

Date and time fields
User-friendly date/time input via calendar or manual entry; restrict selectable ranges; time display optional.

Images and sketches
Upload images or draw sketches directly in the form. Images can be sized and positioned. A powerful integrated image editor lets you crop, rotate, annotate, and combine images or create blank canvases for instructions or sketches.


Calculations
Perform automatic calculations based on inputs — sums, differences, complex formulas, even concatenations — results update automatically when inputs change. Calculation fields are read-only but can feed other fields.

Repeatable sections and tables
Add as many rows as needed, each with the same fields — ideal for material lists, work times, and other repeating data. Users can add/remove rows; calculations can aggregate across rows. Repeatables can also render as tables.


Signatures
Collect signatures digitally right in the form via mouse or touch. Once signed, the current state is cryptographically sealed; optionally, only specific sections can be signed.

FAQ
What exactly do I need to use cryForms?
An internet connection and a modern browser — cryForms is web-based and runs on any device. No installation required.
Older browsers or OS versions may be unsupported; we recommend current versions of Firefox, Chrome, Edge, or Safari.
Can forms be edited offline?
cryForms is primarily designed for online use. Limited offline filling is possible: open forms can be edited as long as you don’t leave the page; inputs are cached and synchronized once online again. Data persists locally even if you close the page; on next open you’ll be asked to upload local data.
Certain features like image editing require connectivity.
What happens if a form is edited on two devices at the same time?
cryForms detects conflicts and warns that the form changed on the server. Users can choose to accept server changes or overwrite with their own.
How are form definitions created?
Easy for you — just share your requirements and we’ll build the definitions. You can request changes anytime until the final version is ready.
Can form definitions be changed or extended?
Of course — request changes at any time; we’ll update your instance accordingly.
Can I create form definitions myself?
Not directly. Building robust definitions is complex; we’ll handle it to ensure quality and optimal function.
How long are created forms kept in cryForms?
As long as you need. Completed forms are marked as archived after a certain time and hidden from the active list. You can access or restore archived forms as needed. To save space and keep things tidy, archived forms are eventually removed after agreed retention periods.
